Office Administrator / Dispatch

Job Description

  • Efficiently responding to telephone, email, social media, and Google Service Inquiries and bookings from our client base, and following up with all client service work
  • Responding to requests for Property Maintenance service work in a timely manner, including following up with service work
  • Scheduling oversight for technicians and managing daily, weekly, and monthly schedules
  • Processing and reviewing invoicing
  • Following up with overdue accounts and collecting payments over the phone
  • Reviewing weekly time cards for all in-field technicians
  • Providing office support to field technicians
  • Administrative duties as required (physical and electronic filing, organizing, etc.)
  • Maintaining a clean and tidy office environment
  • Responding to Google Service Calls and following up with Google Service Reviews
  • Potential oversight of social media, maintaining website updates, facebook posts, instagram posts, and weekly blog posts
  • Providing support to the President as required
  • Other office duties as required
  • Full-time, Permanent position
  • Hours are Monday-Friday, 8am-4:30pm

Experience Required

  • High School diploma or equivalent
  • Previous experience in an in-person customer service, administrative or clerical role
  • Previous work in a fast-paced environment that involves constant interaction with customers and service technicians, delivering friendly and courteous service while maintaining administrative responsibilities
  • Working knowledge of office equipment
  • Working knowledge of Word, Excel and scheduling software
  • Motivated individual who wants to learn all aspects of Trade
  • Excellent time management skills and the ability to prioritize work
  • Strong organizational skills with the ability to multi-task
  • Excellent written and verbal communications skills with emphasis on fluent and respectful phone etiquette
  • Attention to detail and problem solving skills
  • Ability to establish and maintain good working relationships with all levels of staff, clients, and suppliers
  • Proficiency with Mac Operating Systems considered an asset
  • Previous experience with the plumbing, heating & cooling industry, considered an asset
  • Previous experience with social media, website oversight, marketing strategies, SEO, and Online Merchandise Sales & Marketing not required, but considered an asset

Red Seal Plumber

Experience Required

  • Completion of a recognized apprenticeship program
  • Gas Ticket (mandatory)
  • Competent use of hand and power tools
  • Motivated individual who wants to learn all aspects of Trade
  • Interest in learning aspects of business management considered an asset
  • Ability to comply with company and site specific Health & Safety programs
  • Availability for rotation of evening and weekend on-call services (6 week rotating schedule)
